Description & Requirements
The position
As a Project Secretary, you'll be an essential part of our secretarial team, working alongside approximately three colleagues to provide vital support to our Offshore Energy projects. This business unit, based in Gorinchem, focuses on the engineering, construction, and installation of offshore wind farms—making a meaningful impact on the global energy transition.
This is a varied and fast-paced role. You'll need to prioritize effectively, stay organized, and remain flexible in the face of shifting circumstances. Acting as a true all-rounder, you will ensure seamless administrative and secretarial support for our project managers and directors, helping them stay on track and focused. Your ability to anticipate needs and coordinate activities will make you the dependable backbone of the department.
Your responsibilities
Your responsibilities will include (but are not limited to):
- Managing incoming and outgoing correspondence, including drafting, distributing, and filing;
- Coordinating calendars and supporting agenda management for Project Directors and Managers;
- Acting as the main point of contact for both internal and external stakeholders, including handling international calls;
- Organizing and preparing meetings, travel arrangements, documentation, and events for project teams;
Maintaining accurate administrative records using Van Oord's internal systems.
Job requirements
We’re seeking a proactive and reliable assistant who enjoys working in a dynamic setting. You’re sociable, service-oriented, and thrive in roles where no two days are the same. You take initiative, manage expectations effectively, and are confident setting boundaries in a clear and professional manner.
You bring:
- Completed secretarial training at MBO (secondary vocational education) level;
- At least 5 years of experience in a similar secretarial or administrative support role;
- Solid proficiency in MS Office, SharePoint, and Microsoft Teams;
- Strong communication skills in both Dutch and English, spoken and written;
- A hands-on, solution-driven attitude and excellent time-management skills;
- The ability to work well under pressure and adjust priorities as needed.
